How can we help?
Answers to the questions we hear most. Already a customer? Sign in to see your account, or contact us if your question is not here.
Getting started
How do I create an account?
Choose Start free, enter your business name, your name, your email and a password. You are the owner of the account and can invite your team later on the Pro plan.
Can I bring my existing customers and invoices?
Yes. Under Import and export you can upload customers and invoices from a CSV file. Katlego shows you a preview and any rows it cannot read before anything is saved.
Do I need to connect my bank or accounting software?
No. Katlego works from the invoices, payments and expenses you record in it. For the cash flow forecast you record your bank balance yourself, from a statement.
Invoices and payments
How do my customers pay me?
The way they do now: into your own bank account, using the banking details on your invoice. When you receive a payment, record it against the invoice and your debtor book updates.
I made a mistake on an issued invoice. Can I edit it?
An issued invoice cannot be edited, so your records cannot change behind your back. Issue a credit note for the difference and, if needed, a new invoice.
Can Katlego chase late payers for me?
Yes. You can send a reminder from any invoice. On Growth and Pro, follow-ups go out automatically as invoices fall overdue, and on Pro a letter of demand follows for invoices a month late.
The Debtor Health Index
What is the Debtor Health Index?
A score from 0 to 100 for each customer, based on how they have paid your invoices: how late payments arrive, whether that is improving or getting worse, and how much they owe. The reasons are shown next to every score.
Is it a credit check?
No. It describes how a customer has paid you, using only your own records. It is not shared with anyone and it is not a credit bureau score.
Why does a new customer show no score?
A score needs a payment history. Until a customer has one, Katlego shows them as not scored rather than guessing.
The cash flow forecast
What do I need to set it up?
Your bank balance on a given day, and the cash buffer you want to keep. Katlego adds every payment and expense you record after that day.
What does runway mean?
The number of days until your balance is likely to fall below your buffer on a cautious view, where only one in ten simulated outcomes is worse.
Why is the forecast a range and not one number?
Because nobody knows exactly when each customer will pay. Katlego simulates thousands of possible futures from how your customers have paid before, and shows the middle path with a likely range around it.
How do I keep it accurate?
Record payments and expenses as they happen, and update your bank balance from a statement now and then. The forecast is rebuilt every time your records change.
Plans and billing
How do I upgrade or cancel?
Go to Plan and billing in your account. Upgrades are paid through PayFast. Moving back to Free cancels the subscription so you are not charged again.
Can I get a refund?
See the refund policy for when refunds apply and how to ask for one.
Your account and your data
How do I turn on two-step sign-in?
In your account, open Security and add an authenticator app or a passkey. We strongly recommend it for every owner and manager.
Can I get a copy of my data?
Yes. Export your records to CSV at any time under Import and export. For a copy of the personal information we hold about you, see the data protection page.
How do I close my account?
Email support@katlegofinance.co.za from the address you signed up with. We will confirm what is deleted and what the law requires us to keep, as explained on the data protection page.
